How to Allow Non-Admins to Issue Courses/Certifications to Struggling Learners

A guide to automate the process so managers/mentors can help struggling students without requiring full administrative access

As your learners develop their skills in LemonadeLXP, you may encounter a few who are struggling with the work and could use some extra lessons. Rather than grant all your company's managers full admin access so they can assign additional learning materials to those learners, managers can stay as managers yet have the ability to assign materials to those who need it.

To do so, a current administrator must first set up an automated process within their LemonadeLXP that will give managers this ability. Though it does take some time to set up, it saves time in the long run as it only needs to be done once -- the managers can take over from there!

But how does one set it up? And what would the manager's own role be? Read on to find out!

The Administrator's Role

To create a fully-automated system that enables managers to assign Courses/Certifications to struggling learners, administrators need to set up a few key things first.

1) Create a group for struggling learners

An administrator should first create a group for struggling learners. This is so all struggling learners are collected within one group and extra Courses can be issued out to all of them as needed.

Managers should also be added as group admins to give them limited access to the admin analytics page for their group.

When creating your group, keep the following in mind:

  • NAME it appropriately (e.g., "Mentor Group")

  • ENABLE setting that allows learners to freely register to the group

  • ADD each mentor as a "group admin"

2) Create additional learning materials

Your struggling learners will need extra learning materials to help them understand everything. Create a series of Steps and Courses that simplify key content to better help them learn what they're struggling with.

When creating your Courses:

  • SAVE them as "unpublished"

  • DON'T assign groups

3) Create a Human Step connection

Next, create a Human Step Course that connects managers with struggling students. This Step/Course will give managers the ability to issue additional materials to students who need it!

For the Human Step:

  • CREATE a one-on-one, non-graded connection

  • CHECKMARK the box "This step contributes to the learner's progress.

  • ADD all managers as mentors for the Human Step

For the Course:

  • CREATE a Course with the Human Step alone

  • ASSIGN the Course to the "Mentor Group" group

  • PUBLISH the Course

4) Create a Certification

To enforce minimum grade expectations for the additional learning materials, use the Course(s) you made in part 2 to create a Certification!

For the Certification:

  • ADD part 2's Course(s) as "requisite courses"

  • INCLUDE expected minimum grade and due date

  • LEAVE group assignment blank

5) Create a Trigger

The last part of the process is to create the Trigger that will assign the previous Certification and Course(s) to learners when a manager triggers it.

  • CREATE a new Trigger that occurs when "learner completes specific courses"

  • ADD the Human Step Course as the required Course to complete

  • ASSIGN the "Mentor Group" group to the Trigger

  • ADD the Course(s) from part 2 as the ones that will be assigned when Trigger is triggered

  • ADD the Certification to be auto-assigned when Trigger occurs

And with that, the process is now fully automated and the administrator's role is complete!

The Manager's Role

Once the administrator has set up the automated process above, all managers set up as mentors in the Human Step will have the ability to assign the additional learning materials to struggling students!

For each learner, they would do the following:

1) Identify and connect with struggling students

When a manager notices that a learner is struggling with their work, they should reach out to the learner and discuss what's going on. Should the learner require additional materials, the manager must instruct the learner to assign themselves to the Mentor Group and await further instruction.

2) Confirm learner is assigned to Mentor Group

Managers should check the list of learners in the Mentor Group via their own group admin page and verify the learner in question has registered. Once they are in the list...

3) Complete Human Step connection with learner

On the learner side, the manager should go to their mentor panel and open the appropriate Human Step Course card. Once there, they must create a new connection with the learner and complete it. Managers can add instructions/notes through there when they do.

After the manager finalizes the connection, the learner will be assigned both the Certification and its additional learning materials.

4) Observe learner's progress

Managers can continue to observe the learner's progress through their group admin page, following up with the learner as needed.
