🚀 How to Set Up Your Digital Academy (Step-by-step Guide)

How to add content, organize it, and publish your Academy!

Ready to set up your own Digital Academy? Whether you're adding interactive steps or uploading videos, here’s how to get everything up and running—from content creation to launch.


🎨 Step 1: Customize the Look of Your Academy

Before you start adding content, you can tailor the look of your Academy to match your brand.

In Settings > Digital Academy, you can:

  • Change the color theme

  • Add your company logo

  • Include helpful subtext

  • Add external links (e.g., to your website or support resources)

This ensures your Digital Academy feels like an extension of your brand from the very beginning.


📦 Step 2: Choose Your Content

Before building out your library, make sure you have some content ready.

🧩 Non-Video Steps

Decide which LemonadeLXP steps you want to make public for non-registered learners. These can be added directly from your step library.

🎬 Videos

Have video files ready for direct upload to your Academy. No need to create these as LemonadeLXP steps—they’ll live in the Academy independently.


🛠️ Step 3: Access the Digital Academy Settings

To begin setup:

  1. Log in as an admin

  2. Go to Settings in the top navigation

  3. Click on Digital Academy

  4. Select Content Configuration from the left menu

  5. Choose the Demos tab to begin adding content

🗂️ Step 4: Build Your Academy Library

Repeat the process below for each item you want to add:

  1. Click the ➕ square to create a new item

  2. Select the step type (Demo, Simulation, Video, etc.)

  3. Upload a high-resolution cover image

  4. Enter a Title (max. 52 characters)

  5. Write a cover image description (max. 512 characters)

  6. Add a tutorial description (max. 512 characters)

For Non-Video Steps:

  • Select the step from the drop-down list

For Videos:

  1. Click on the Video File tab

  2. (Optional) Upload a .vtt subtitle file before adding the video

  3. Upload the video file (drag and drop or select from your device)

✅ Don’t forget to Save when you’re done!


🧮 Step 5: Organize by Category

➕ Add a new category:

  1. Click Add Category

  2. Name your category

  3. Click Save

🔁 Move items between categories:

  1. Click and hold the item

  2. Drag it to the desired category

  3. Release to drop it in place

🔗 Step 6: Link Related Content

Help learners discover more relevant content by linking tutorials together.

  1. Click Edit on any Academy item

  2. Select the Metadata tab

  3. Use the button to add related content

  4. Click Save

🎯 Example: Link a "Paying Bills via Mobile" tutorial with a "Paying Bills via Online Banking" one—even if they’re in different categories.


🌍 Step 7: Configure Language Versions

If your instance supports multiple languages:

  1. Use the language drop-down

  2. Set up your Digital Academy content for each language

💡 Each language can have its own titles, descriptions, and media.


🚦 Step 8: Activate or Deactivate Your Academy

To toggle your Academy on or off:

  1. Go to the Digital Academy section in Settings

  2. Use the ON/OFF toggle in the left-hand menu

When ON, your Academy is publicly accessible on the subdomain you have chosen during setup.


👥 Step 9: Show or Hide Your Academy from LLXP Learners

Once your Academy is activated, a new Academy link appears in the LemonadeLXP learner homepage menu.

  1. You can keep it visible

  2. Or choose to hide it from LemonadeLXP learners

✅ You’re All Set!

Once your Academy is live, learners and the public can explore your tutorials, learn independently, and build confidence using your digital tools—all without needing to register.

Need to add more content later? Just repeat Steps 2 to 7 above anytime.
